Workspace Tab
What is the Workspace tab?
The Workspace tab is where your project's steps and goals are listed, along with any gates for review. If a process is applied to your project, this tab will display the current step to complete and allow you to create local steps to achieve specific project goals.
The important thing to understand is that a worskspace is just a different way of looking at the same underlying data! This means that if you edit the data in a project while in one view, it will change that data for all views, since all views are looking at the same project and fields.
📢 If you don’t know how to create a process, checkout the documentation: Process
Navigate to the current steps
By default, when you load a workspace tab, you will be taken to the step in progress. If a project doesn't have a current step, you can create one locally for that project.
The "current step" view displays the step that needs to be completed at present.
Mark as finished a step
To mark a step as finished, project editors need to click on the button labeled “Mark as finished”.
You cannot mark a step as finished if you have not filled out the required fields.
After finishing a step, you may encounter three scenarios:
- The current step is linked to another step: the next step will be promoted to the current step.
- The current step is linked to a gate: the gate will be opened, and portfolio managers and members will be able to make a decision.
- The current step does not have any link: the step will be pushed to the completed steps.
📢 When a step is completed or validated by a gate, Braineet saves the field's value and add the step to the completed steps. By clicking on the step, you can view the value at the time it was finished or when a decision was made at a gate.
Make a decision on a Gate
After completing the previous steps the Gate will be open, you can review the work that has been done and make a decision on it. For more information, check out permissions.
Clicking on "Make a decision" will display a modal with multiple possible decisions.
Continue: Validate the steps that have been completed and move forward to the next ones. By following this process, you will be provided with different possible paths to take.
Iterate: Ask the project editors to make modifications to the steps of your choice. Be sure to select at least one step that requires more work.
Split: This project will be continued and sub-projects will be created. This option is useful if you want to maintain the history of the project and start new sub-projects from it.
After validating the decision, the project will have the new decision as follows:
The new projects will build upon the work that has been done, and portfolio managers will be able to make new decisions.
- Pause: The project will be paused until the portfolio managers and members change their decision.
- Stop this project: the project will be stopped.
Reopen a gate after an iterative decision
When a gatekeeper decides to request modifications during the Iterate decision, the project leader can modify their steps and goals. They can then indicate that they have made the requested modifications by clicking "Review again previous steps" directly on the gate.
Skip or make irrelevant a step
If a step is currently irrelevant for this project, you can mark it as irrelevant to indicate that the project did not complete that specific step. At any time, you can reverse this decision and mark it as relevant again.
To indicate an irrelevant step, click on the step menu (indicated with ...) and then select the "Irrelevant step" option at the top of the dropdown menu that appears.
đź’ˇ Using this feature, it will prevent the step from being deleted, ensuring that your project can continue to receive process modifications.
